StewardEd

The school information system for independent Christian schools.

One system for the whole school, from first inquiry to the AGM. StewardEd brings families, attendance, communications, tuition, receipts, giving, transportation, the board and the budget onto one record per person, with a parent app built for the pickup line.

For independent Christian schools in Canada, especially parent-run society schools from JK to Grade 8. Runs in the browser, on your school's own web address and brand.

  • People and households

Students, parents, grandparents, staff and donors each have one record. A student can live in two households, and each household pays its own share.

  • Communications and forms

Notices by email, text and app notification to any audience, with proof of who they reached, and permission slips that remind families until every household has answered.

  • Attendance and dismissal

Morning and afternoon registers with parent-reported absences already on them, automatic notices for unexplained absences, and a pickup list for every child.

  • Admissions and re-enrollment

Families apply, pay the fee and sign their enrollment agreement in the parent app. When they enroll, the applicant becomes the student on the same record.

  • Tuition, assistance and receipts

Statements built from your fee schedule, with levies, dues, split-household shares and payment plans, anonymous assistance review, and year-end CRA receipts issued to whoever actually paid.

  • Budgeting and planning

Actuals from QuickBooks Online, budget against actual, enrollment projected year by year, tuition scenarios tested before the board votes, and a finance package for every meeting.

  • Staff and timetable

Salary grids approved by your personnel committee, credentials with expiry reminders, supply teachers booked automatically, and a timetable that builds itself from JK to high school.

  • Transportation

Buses, runs and riders by stop, routes planned from family addresses, and a driver screen that shows parents the bus live.

  • Health, behaviour and drills

Critical alerts for every teacher, a visit and medication log, restorative follow-up on incidents, and a live roll call during drills from every teacher's phone.

  • Giving and volunteering

A public giving page with monthly gifts, campaigns, pledges and event tickets, plus volunteer hours families log from their phones toward each household's goal.

  • Society, board and committees

Built around Ontario's Not-for-Profit Corporations Act: AGM notice in the right window, proxies only where your bylaws allow, committees, motions, minutes and the registers ONCA asks you to keep.

  • Your school's brand

Your logo and colours throughout the app and emails, on your own web address. Families sign in at portal.yourschool.ca.

Built around how society schools actually work

  • The school is a society. Parents are members who pay dues and vote at the AGM. StewardEd checks your notice window, reminds you to send financial statements in time, and keeps the registers of members, directors and officers.
  • Volunteering is part of tuition. Set an hours target for each household, a smaller one when a student is shared between two homes, and a rate for hours not worked.
  • Not every family is one household. In split and blended families, each parent sees only their own children and pays only their own share.
  • Receipts the CRA expects. Gifts are receipted for their eligible amount, and the religious-education portion of tuition goes to whoever actually paid it.

Where it's headed

StewardEd is growing into a full school information system. A gradebook and Ontario-style report cards are on the roadmap, so until then many schools keep their current system for marks. Branded iOS and Android apps for each school are on the way.
